Information for stall holders


If you'd like to book a stall at the Summer Fair ring Sue on 02392 250267 but forms can also be downloaded from our resources section under 'useful forms'.
The cost is only £20 for charities/campaigning groups and £30 for businesses.
We'd appreciate help with sponsorship though and are happy to use your logo on our publicity if you are able to help.
And we'd also appreciate offers of prizes, contacts who might help on the day and publicity ideas.

The event is designed to showcase energy saving, green transport and concern for the planet so we can only accept stalls which fit our sustainability criteria.

We're trying to
1. raise awareness and encourage pride in the local environment
2. promote sustainable living in Portsmouth
3. engage the local community in Green Issues
Please do think about booking quickly; we are a small group of volunteers and much of the work last year was chasing up stalls who did intend to come but hadn't told us!
These are our booking conditions:
PORTSMOUTH SUMMER FAIR AND PICNIC 2012: TERMS AND CONDITIONS
Please send booking forms and payment as soon as possible because we need to submit a detailed site plan to the PCC events team. Also it saves us loads of effort if we don’t have to chase you!
PCC requires stall-holders to provide evidence of insurance cover of £5million. However, if you don’t have this, please talk to us.
PCC also need every stall-holder to provide a risk assessment. We have attached a model one and it’s also ready to download in the resources section of our website. Just remove the bits which don’t apply to you, and anything else you can think of and add your organisation name at the top.
The pitch/stall will be situated according to the Site Plan, which will be provided by Portsmouth City Council and will be similar to 2011. if you have any special requirements, please let us know early.
Exhibitors must not use any audio equipment except with the written permission of Portsmouth City Council.
Stalls must be staffed, stocked and ready to trade by 10.45am. Exhibitors must trade or staff their stalls throughout the day and clear them an hour after the close of the fair. No vehicles will be allowed to stay in Victoria Park unless they are serving food or are demonstration vehicles. If you do plan to have your vehicle in the Park you will need a drip pan to put under it
The Exhibitor must not place goods beyond the boundaries of the stall, except with the permission of the organisers. Exhibitors must keep the stall and fittings and the space below the stall clean and free from litter.
Any Exhibitor selling food must comply with current food safety legislation, the Weights and Measures Regulations, Food Safety (General Food Hygiene) Regulations 1995 as amended and the Food Safety (Temperature Control) Regulations 1995 as amended. The exhibitor must also comply with the food hygiene guidance provided by Portsmouth City Council (attached). They also need public liability insurance for a minimum of five million pounds and proof sent with application form unless already registered with Portsmouth City Council. This must be available for inspection on the day as Environmental health officers from the Public Protection Service will regularly inspect food business/caterers attending these events. Food sold at the Summer Fair should be local and organic and Fairtrade if available.
Food stalls should only use recycled or reusable materials for cups, cutlery etc
All Exhibitors using electricity or flammable gas must provide adequate fire extinguishers. Those using electricity must have current and signed inspection labels (or relevant certificates) on or for the electrical products concerned.
All vehicles must be removed from the site after set-up unless permission has been granted by the Portsmouth City Council. We hope to provide free parking for stall-holders but will confirm this later.
Portsmouth City Council reserves the right to refuse or withdraw any booking at our absolute discretion, in which case payment will be refunded. Stalls accepted will need to fit our criteria for sustainability.
Portsmouth City Council will not be liable for any loss or damage, consequential or otherwise to any trader’s property or produce. Portsmouth City Council will endeavour to accommodate specific stall location requests when possible but reserves the right to change an agreed position if necessary or to refuse a request.
